What is an IT emergency card?

An IT emergency card is a tool used in organizations to provide employees with clear guidance and recommended actions for dealing with IT emergencies. Similar to a sign in the event of a fire, the IT emergency card contains important information and behavioral guidance to help employees respond appropriately to different types of IT emergencies.

The IT emergency card typically focuses on the most important steps and actions that should be taken in the event of an IT emergency. These include, for example, contact details for IT emergency contacts, information on how to pass on relevant information immediately, and clear instructions that countermeasures should only be taken after consultation with or instruction from the relevant contacts.

IT emergency cards are usually placed in central locations in the organization that are clearly visible and easily accessible to all employees. It serves as a visual reminder and guide in stressful situations to ensure that the proper steps are taken immediately to address the IT emergency.

In addition, the introduction of the IT emergency card can be embedded in training and awareness activities to increase IT security awareness throughout the organization. By regularly encouraging employees to report suspicious behavior in IT systems, the IT emergency card helps the workforce become an active part of cybersecurity and thus contributes to the effective management of IT emergencies.

How does an IT security incident emergency card work?

An IT security incident contingency card acts as a practical tool to respond appropriately to IT security incidents in an organization. Here is a description of how such an emergency card typically works:

  1. Clear instructions and recommended actions: The emergency card provides clear and concise instructions on what employees should do in the event of an IT security incident. It provides a quick overview of the key actions that need to be taken to contain the incident and limit the damage.
  2. Contact details and availability: The map contains a list of contact details for the organization’s IT security incident contacts. This includes internal IT security teams, help desks, or other relevant offices. The accessibility of these contacts is provided to ensure that employees can contact them quickly in the event of an emergency.
  3. Escalation processes: The emergency map also describes the escalation process if the first point of contact cannot be reached or the incident requires a higher level of escalation. Clear instructions are provided on who employees should contact in such cases and how they should proceed to report the incident.
  4. Incident Reporting: The incident response card provides guidance and information on how employees can report IT security incidents. This can be a dedicated email address, hotline number or internal reporting system. This ensures that incidents are quickly recorded and forwarded to the appropriate parties.
  5. Recommendations for action and behavior: Depending on the nature of the security incident, the emergency card may also contain specific recommended actions and behavioral advice. This may include, for example, tips on backing up data, stopping suspicious activity, or protecting sensitive information.

It makes sense to place the emergency cards in central locations in the organization that are clearly visible and easily accessible to all employees*. These include, for example, corridors, common rooms and, of course, in all IT rooms. Thanks to their clear and well-structured layout, emergency cards of this kind enable your employees to quickly find their way around and help them respond appropriately to IT security incidents.

Ensure maximum IT security – even offline

Use pragmatic offline scenarios, such as an IT emergency map around „Behavior in IT emergencies“ as a tangible IT security guide for emergencies, similar to the well-known „Behavior in case of fire“.

With such a guide, every employee receives indispensable instructions on how to react correctly in the event of various IT emergencies. From the very beginning, you make the right decisions to ensure the IT security of your organization. Placed in central locations and as mandatory basic equipment, the emergency card contributes directly to raising awareness of security issues.

The IT emergency card focuses on three key messages:

  1. Knowing who to contact in the event of an IT emergency and how to reach them.
  2. Immediate dissemination of critical information in the event of an IT emergency.
  3. Countermeasures only after consultation/instruction by the responsible contact persons for IT emergencies.

Not every IT emergency is easy to recognize, and it is even more difficult to assess whether it is a malfunction or a cyber attack. Give your staff support and leave this decision in the right hands. The catalog of measures for emergency management will help you find the appropriate contacts. The BSI has templates for an IT emergency card available for us FREE of charge, even if it is worthwhile to fundamentally individualize them, it absolutely makes sense to use this template IMMEDIATELY and thus proactively strengthen IT security in your organization.

Training and awareness activities lend themselves as a framework to introduce the IT emergency card to your organization. This way, your team becomes an integral part of cybersecurity. Regularly encourage your employees to report suspicious behavior patterns in IT systems and actively contribute to security.
